The Benefits of Onsite Electronic Content Archiving

The rise of the internet and the modern ubiquity of computers has resulted in a burgeoning mass of electronic information.  Modern business life is almost impossible to imagine without some recourse to electronic content.  Most of us, of course, extensively rely on email communication.

Emails, which only became a mass form of communication in the 1990s, have replaced, sometimes totally, older forms of communication, such as letters.  The speed and ease with which emails can be composed and dispatched can sometimes lead to an increase in communication.  More, however, does not necessarily mean such information is not important to archive.  All information can potentially have future importance.

Other forms of electronic content include digital files, electronic data and SharePoint content.  Onsite electronic content archiving is a method of document management solution.  The on-site electronic document archiving service relies on an integrated digital archiving platform.  It uses both archiving and recovery without any impact on production content systems.

The onsite electronic content archiving system can consist of one or more of three elements: exchange email archiving, SharePoint archiving and File System Archiving (FSA).  These three elements can be joined together as a suite or stand as individual products.  Furthermore, the products can be adapted according to the specific needs of your organisation.

The exchange email archiving product addresses the mass of email information that flows through your organisation.  Email communication is fast, cheap and easy.  As a mass of content, however, it can pose significant archiving challenges.  Ferris Research has found that the average information worker dispatches in excess of 600 emails every week.  Depending on the number of employees in your business, this wealth of content can be very large indeed, increasing by many thousands every week.  Archiving emails can lead to increased server and storage costs.  Your IT staff, in addition, have to operate longer backup windows.  The exchange email archiving platform helps to reduce costs by taking out content from production systems.  The platform has different types of capture and storage methods, including MAPI, journaling and continuous application shadowing (log shipping).

SharePoint archiving is an integrated archiving product to capture your SharePoint data.  It is the only product in the market to have data capture, archiving and recovery services in one tool.  It nonetheless remains easy to use.  The product captures and archives all SharePoint content, indexes in full-text format, has storage costs efficiencies and can be integrated with eDiscovery, PST management, tiered storage management, content retention, monitoring and classification and disaster recovery.

Edisclosure products and solutions, known as eDiscovery in the US, help you anticipate and prepare your business for potential litigation.  Failing to have the adequate resources in place exposes you to the risk of legal and financial attack.
